The booking terms and conditions constitute a legally binding contract between Odyssey Treks and you. So it’s essential to read and understand them carefully and legally set out your relationship with Odyssey Treks.
As per the Terms and Conditions policy, to book your trip, you should send 20% of the total payment as security to make the trip arrangement, which is non-refundable. If you cancel your trip, the company will not be responsible for the refund of your advance payment. But, you may postpone your trip to avoid cancellation until one year, and you need to inform us at least 2 weeks before the trip departure.
We require you to email us a copy of your scanned passport at info@odysseytreksnepal.com. After receiving passport copies of all the participants along with the advance payment, we will send you a final confirmation receipt.
Note:
We need a copy of your passport to make booking confirmations for flights, hotels, trekking permits, and other required legal processes as per your trip. For your information, the passports of all the participants should be valid for at least 6 months from the date of your entry to Nepal.

- Please ask your bank to advise payment to the bank by authenticating SWIFT or a Tested Telex message. Use the bank above with the correct company address.
- During the transfer, the transfer service charges are the sender’s responsibility. Please make sure we can receive the actual amount invoiced from your bank.
Please note that if your bank doesn’t have a direct connection with our bank, there might be more bank commission, which might be deducted from the amount you deposited. So, please check with your bank and remit the payment accordingly. - To Ensure Your Transfer Accuracy, Any inefficient or inaccurate transfer may delay the reservation procedures. Deposits are required to be guaranteed at the time of reservation.
For credit card payments, don’t hesitate to contact us. We only accept Visa or MasterCard on final payment upon arrival in Kathmandu, and an additional 4% bank service charge would be applied for the card processing fee.
The remaining balance can be paid upon your arrival in Nepal by cash or credit card.
CANCELLATIONS OF THE TRIPS:
As per the Terms and Conditions policy, clients are free to make all cancellations for any reason. We do not impose compulsory trips on any of our customers. We refund a certain amount to our customers, depending on cancellation dates. The date of cancellation and refund amounts are mentioned below:
- Cancellation before 60 days of departure: full refund
- Cancellation before 30 days of departure: 50% refund
- Cancellation before 15 days of departure: 25%
After 10 days and after the trip is started, there is no refund
If Odyssey Treks cancels your trip, we will fully refund the deposit and payments. However, suppose our cancellation is due to civil war or any other unpredictable circumstances beyond our control. In that case, the reasonable expenses that we have already paid for the process of the trip will be deducted from your deposited amount.
We are not responsible for any refunds in case of an incomplete trip, whatever the reason you turn back from the trip. Before you turn back, communicate clearly with us or your guide.
Therefore, travel insurance is compulsory for all clients undertaking any tour or trek. It should provide adequate protection for the full duration of the tour or trek to cover personal injury, medical expenses, repatriation expenses, helicopter evacuation, loss of luggage, etc.
